Cancellation policy.

We hold dates exclusively for one party at a time. These terms keep things fair for both you and us when plans change.

Hold Deposit

A $500 refundable deposit secures your dates.

When you submit a booking request and we confirm availability, you'll receive a secure payment link for a $500 refundable hold deposit. Your dates are not reserved on our calendar until this deposit is received.

The deposit is applied toward your final balance, or refunded in full after checkout provided no damages or extra cleaning are required.

Standard Cancellations

Cancel 60+ days out for a full refund.

  • 60+ days before check-in100% refund of all payments, including the hold deposit.
  • 30–59 days before check-in50% refund of payments made. Hold deposit refunded.
  • 14–29 days before check-inHold deposit refunded. Other payments non-refundable.
  • Less than 14 daysAll payments non-refundable, including the hold deposit.

Refunds are processed to the original payment method within 5–10 business days of confirmation.

Rescheduling

One free date change, 30+ days out.

You may reschedule your stay once, at no charge, if requested at least 30 days before your original check-in and the new dates fall within 12 months. Subsequent changes, or changes inside the 30-day window, are treated as a cancellation under the schedule above.

Corporate Retreats

Custom terms for groups and offsites.

Corporate bookings often involve catering, facilitators, and travel logistics that don't fit a standard timeline. We'll outline cancellation terms — typically tied to a signed agreement and milestone payments — directly in your proposal.

If We Cancel

Full refund and our help finding alternatives.

In the rare event we need to cancel your stay (severe weather, property emergency, or anything that would compromise your experience), you'll receive a 100% refund of all payments and, where possible, help finding alternative dates or accommodations.

Force Majeure

Travel restrictions and exceptional events.

For cancellations driven by government travel restrictions, natural disasters, or other events outside either party's control, we'll offer a date change within 12 months or a credit toward a future stay. Cash refunds in these cases are at our discretion.

Reply to your confirmation email.

The fastest path is to reply directly to your confirmation or payment email. You can also reach us at contact@privatelakeretreat.com. Refund timing is calculated from the date we receive your written cancellation request.
